Description

The Executive Assistant Position shall directly support the needs of the President in addition to other Senior Project Staff on Armand Corporation's New York Rising Housing Contract. The Executive Assistant shall prepare correspondence and other written materials based on verbal direction, emails, texts, etc. Maintain calendars, including scheduling and coordinating meetings. Follow-up on the meetings and telephone calls, i.e. debriefing or follow-up action items. Conduct research and prepare write-up of findings. May represent staff on special projects. Organize corporate events and activities. Request Certificates of Insurance; transmit legal docs; complete forms; filing. Book flights, trains; auto rentals; and hotel accommodations; manage changes to itinerary. Assist other managers as needed with research and travel arrangements. Assist Business Development Department with forms and documents requiring the president’s signature. Assisting Controller with invoicing, payroll, filing, year-end close-out; and ad hoc tasks.

Essential Functions

Quickly summarize, verbally and in writing, significant business data, schedule data, event data, conversation summaries, or other information in a readable, accurate format for review by President and Executive Staff. Physically / Digitally store and Digitally Edit forms, including PDF forms, in order to process business and proposal forms, invoices, legal docs, certificates of insurance, and other documents. Make foresighted assumptions about Presidential and Executive needs in order to enhance scheduling, event planning, research, and other activities performed in support of President and Executive Staff. Utilize attention to detail and Math, including math in programs such as Microsoft Excel, while assisting the Controller with invoicing, timesheet review, payroll, filing and year-end financial closeout.

Qualifications

• Bachelor degree or Associates Degree is required. • At least 3 years of experience as an Executive Assistant, or related experience performing executive level support. • Must be proficient in Outlook Word, Excel, and PowerPoint. Familiar with QuickBooks or Peachtree (Sage) a plus. • Very strong writing skills and good oral communication skills. • Must feel comfortable with working in a fast-paced environment and juggling tasks.
